Privacy Policy

Last updated: 21 September 2026

Otherhome ("we", "us", "our") operates otherhome.org and provides shared-accommodation housing in Adelaide, South Australia. This policy explains what personal information this website collects, how we use and protect it, and how to contact us about it.

1. Information We Collect

We collect information you choose to provide through our Contact form, including your name, email address, phone number, and message.

When you submit a rental application, we may also collect:

  • the property, room, proposed move-in date, and requested contract period;
  • your name, date of birth, nationality, email address, phone number, occupation, and Australian residency or visa status;
  • the same information about a secondary applicant, where applicable;
  • rental-history and reference information, including previous addresses, tenancy dates, landlord or referee names, and contact details; and
  • documents you upload, such as photo identification, visa grant letters, reference letters, and other supporting documents.

We and our service providers may also process limited technical information, such as an IP address, request time, and security or error information, to operate the site, prevent spam and abuse, apply rate limits, and diagnose problems.

The room listings shown on this site (photos, suburb, price, availability) describe properties we manage, not visitors — the exact street address of each property is deliberately withheld from public listings for the safety of current residents.

2. How We Use Your Information

We use personal information to:

  • respond to enquiries;
  • receive, assess, verify, and administer rental applications;
  • contact applicants, secondary applicants, landlords, or referees where appropriate;
  • manage a tenancy if an application is successful;
  • protect our systems and investigate suspected misuse; and
  • meet our legal, regulatory, accounting, and dispute-resolution obligations.

We don't sell personal information or use rental-application information for unrelated marketing. If you don't provide information marked as required, we may be unable to assess your application or respond to your request.

3. Information About Other People

If you provide information about a secondary applicant, landlord, referee, or another person, please make sure you are authorised to provide it and that they understand why it is being provided to us.

4. How We Store and Share Information

Access to rental applications is limited to authorised staff who need it for the purposes described above. We may use the following service providers to operate the site and process information on our behalf:

  • Cloudflare, for website hosting, delivery, and security;
  • Microsoft Azure, for application hosting and private document storage;
  • our secured application database, for rental-application records;
  • Slack, for internal notifications about enquiries and new applications; rental documents are not attached to Slack notifications; and
  • Google Maps Platform and Google reCAPTCHA, for address suggestions and abuse prevention.

These providers may process information in Australia or in other countries where they or their subprocessors operate. Their handling of information is also governed by their own privacy and security terms. We may otherwise disclose information where you authorise us to do so, where it is reasonably necessary to operate or protect our services, or where required or permitted by law.

5. Data Retention

Documents uploaded to start an application but not submitted are scheduled for deletion after one day. Documents attached to a submitted application are scheduled for deletion after 14 days. Storage lifecycle processing runs in the background, so deletion may not occur at an exact time.

If an applicant becomes a tenant, authorised staff may copy documents needed to establish or administer the tenancy into longer-term private storage. Those copies, application form data, enquiry records, security records, and backups are kept only for as long as reasonably necessary for the purposes described in this policy or as required by law. When information is no longer needed, we take reasonable steps to delete or de-identify it. Provider backup, versioning, or soft-deletion systems may retain protected copies for a limited additional period before final deletion.

6. Security

We use reasonable technical and organisational safeguards designed to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These include private storage, time-limited document links, access controls, and limited document-retention periods. No internet transmission or storage system can be guaranteed to be completely secure.

7. Access, Correction, and Deletion

You can ask what personal information we hold about you, request access to or correction of it, or ask us to delete it. We may need to verify your identity before acting on a request, and in some circumstances the law may permit or require us to retain information or refuse access. Contact us at support@otherhome.org.

8. Privacy Complaints

If you have a privacy concern, contact us using the details below and describe the issue. We will review it and aim to respond within a reasonable period. If you are not satisfied with our response, you may contact theOffice of the Australian Information Commissioner.

9. Tenant Portal

If you're an existing resident, our Tenant Portal is a separate system used for maintenance requests, rent, and account management. If you have questions about information held there, contact us using the details below.

10. Children

This site isn't directed at children, and we don't knowingly collect information from anyone under 18.

11. Changes to This Policy

We may update this policy from time to time. The date at the top shows when it was last revised.
